MasterControl Integration

If your facility uses MasterControl for document and training management, Clarix can sync training completions, quality events, and controlled documents between the two systems. Configuration lives on a dedicated page at /settings/mastercontrol, linked from the Integrations hub.

Role required: Administrator only. API credentials are sensitive — treat Client ID and Client Secret like account passwords. All configuration changes are logged in the audit trail.

Configuring MasterControl sync

1. Navigate to Settings → Integrations and click the MasterControl card, or go directly to /settings/mastercontrol.
2. Enter your MasterControl API credentials:
   • API Base URL — your MasterControl tenant URL
   • Client ID and Client Secret — OAuth credentials from your MasterControl administrator
3. Click Test Connection to verify the credentials.
4. Configure which sync modules to enable:
   • Training sync — sync training plan completions and qualification status between Clarix and MasterControl
   • Quality sync — sync deviation and CAPA records between the two systems
   • Document sync — sync controlled documents bidirectionally (see below)
   • Formula sync — push approved Master Formula records to MasterControl as document attachments (see below)
5. Toggle Sync enabled and set the sync direction and frequency.
6. Click Save MasterControl Settings.

Document sync configuration

MasterControl document sync allows Clarix controlled documents to sync bidirectionally with MasterControl. When enabled:

• Documents originating in MasterControl and pushed to Clarix appear in the Documents module with a "Synced from MasterControl" badge. They are read-only in Clarix — changes must be made in MasterControl and re-synced.
• Documents originating in Clarix that are marked for sync are automatically pushed to MasterControl after they receive an Approved status from a document controller.

Configure which document categories participate in sync from the sync settings panel:

• SOPs
• Work Instructions
• Forms and Templates
• Training Materials
• Change Control Records

Note: Not all document categories need to be enabled. Only enable sync for categories that MasterControl is designated as the system of record for. Documents in non-synced categories remain Clarix-only.

Formula sync

If formula sync is enabled, Master Formula records that are approved in Clarix can be automatically pushed to MasterControl as PDF document attachments. This supports facilities that require MasterControl as the system of record for all GxP-controlled documents, including compounding formulas.

• The push occurs after the final approval step (PIC or QA Officer approval, depending on your formula workflow configuration).
• The document is filed under the category and naming convention configured in the sync settings.
• Formula sync is one-directional: Clarix → MasterControl. Formula records cannot be created in MasterControl and pulled into Clarix.

Manual sync

After saving valid credentials, use Sync Now to trigger an immediate sync outside the scheduled interval. The result shows counts of training and document records synced, or an error message if the connection failed.

Test Connection verifies credentials without importing data — use it after credential rotation or tenant URL changes.

Use Sync Now after completing a formula approval or training event that should appear in MasterControl immediately, rather than waiting for the next scheduled sync.

Sync schedule

Sync runs automatically every 4 hours when the integration is enabled. The last successful sync timestamp is shown on the MasterControl settings page.

Failed sync attempts are recorded in the integration history log on the Integrations settings page, including the error reason for troubleshooting.
